Our client is a highly professional private family office dedicated to delivering seamless operational and administrative support to the Principals. This role is pivotal in maintaining the efficiency and coordination of the family office, working closely with various staff members, including Personal Assistants, Property Managers, and House Managers.

Position Summary:

The Family Office Assistant will provide comprehensive support, managing calendars, coordinating travel, and overseeing property management tasks. This position requires an exceptional ability to work autonomously, exercise discretion, and deliver high-quality results in a dynamic and remote-first environment.

Key Responsibilities:

— Proactively manage complex, high-volume calendars across multiple time zones.
— Coordinate domestic and international travel, often on short notice.
— Research, book, and curate vacation itineraries, including flights, accommodations, and activities.
— Schedule personal appointments and handle errands such as dry cleaning and vehicle maintenance.
— Develop systems to enhance administrative processes and efficiencies.
— Assist in planning and executing events of varying scales.
— Oversee property management and liaise with vendors as needed.
— Provide ad hoc personal and business project support.
— Travel to Atherton and other residences as required.

Qualifications:

— 5+ years of administrative support experience; experience in private family offices preferred.
— Exceptional time management and multitasking abilities in high-pressure environments.
— Strong communication skills and the ability to interact with all levels of personnel.
— Advanced proficiency in Microsoft Office; experience with Salesforce and Monday.com is a plus.
— Valid driver’s license and current passport required.

Compensation

Our client has set a base salary range of $75 to $85 per hour.

The offer will be based on various factors, including years of experience, skills, educational background, and other relevant qualifications.
